Someone is typing your supplier invoices into a spreadsheet or your accounting system by hand. Slow, and the mistakes it makes are the expensive kind: a wrong VAT figure does not look wrong.
Piping the PDF into an AI model makes it worse. A model will happily return a total that does not match its own line items, and nothing notices.
WHAT I BUILD
An n8n workflow that reads your documents, pulls out the fields you name, then re-checks the arithmetic in code, not in a prompt. Net plus VAT must equal gross. Dates are normalised UK day-first. VAT rates are checked against the UK bands. Anything it cannot verify is flagged with the reason and sent to a review queue. It tells you which three documents to check, instead of guessing at the other three hundred.

I build small pieces of software that do the repetitive admin a business is still doing by hand supplier invoices typed into the accounts job details copied between systems the same enquiries sorted every morning
I came up through the trades so I know what that admin actually looks like and how little time there is for it
What makes mine different: they tell you when they are not sure. If an invoice does not add up it gets flagged with the reason instead of being quietly written into your accounts wrong.

My invoices come from twenty different suppliers. Is that one document type or twenty?
One document type means one layout family. Twenty suppliers with genuinely different layouts is not a Basic. Send me five real samples before ordering and I will tell you how many layouts they actually are and quote accordingly. I would rather scope it than argue later.
What accuracy can you guarantee?
None, and be careful of anyone who quotes you a figure. What I guarantee is behaviour: the arithmetic is re-checked in code, and anything that fails a check is flagged with the reason rather than written into your accounts. You get a list of what to review, not a claim that everything is fine.
Can it post straight into Xero or QuickBooks?
Yes, from Standard up, using their documented APIs and your credentials. Basic outputs to Sheets or CSV. I move data into your accounting system — I do not do bookkeeping, chart-of-accounts design or VAT treatment, and I do not give tax or accounting advice.
Do I need to buy anything, and where does it run?
It runs on your own n8n instance or n8n Cloud account, under your credentials, and you own it. You supply the AI API key — Google AI Studio is free with no card. I cannot legally host client workflows on my instance, and you would not want the dependency anyway.
What happens to my documents after delivery?
Sample documents you send me are used only to build and test your workflow and are deleted when the order completes. Nothing is kept, reused or shown to anyone. If you would rather send redacted samples, that works fine for scoping.
