WorkFlow Alchemist
About this Gig
Still typing invoice details into a spreadsheet by hand?
I build an automation that reads your invoices and receipts - PDF, scanned image, or email attachment - and drops the data into Google Sheets, Excel, or QuickBooks. Clean rows, no typing.
WHAT GETS EXTRACTED
Vendor, invoice number, date, due date, line items, subtotal, tax, total, currency, PO number - whatever fields you actually need.
HOW IT WORKS
1. Invoices arrive (email, Drive, Dropbox, or a folder you drop them in)
2. AI reads them - no rigid templates, it handles layouts it has never seen
3. Validated data lands in your sheet or accounting tool
4. You get an alert if something looks off
WHY THIS ONE
Most extraction tools break the moment a vendor changes their layout. This reads the document the way a person would, with validation rules so bad data never reaches your books.
Built on n8n or Make, running in your own accounts. You own it - no monthly fee to me, no lock-in.
Send me a sample invoice before ordering and I will tell you exactly what is possible and which package fits.

FAQ
What file types can you handle?
PDFs (native or scanned), JPG/PNG photos of receipts, and email attachments. Scanned documents go through OCR first, so handwriting-free printed invoices work fine.
Where does the data end up?
Google Sheets, Excel, Airtable, Notion, a database, or straight into QuickBooks or Xero. Tell me where you want it and I will wire it up.
How accurate is it?
Clean printed invoices are near-perfect. I add validation checks (totals must add up, dates must parse) so anything doubtful gets flagged for you instead of quietly landing wrong.
Are there monthly fees?
Nothing to me. It runs in your own accounts, so your only cost is the AI usage (usually cents per invoice) and n8n or Make if you use a paid tier. Self-hosted n8n is free.
Is my financial data safe?
Yes. Everything runs inside your own accounts and credentials, never mine. I can build and test using sample or redacted invoices if you prefer, and I remove my access when the job is done.
