Email migrations go wrong quietly. The mailboxes look fine, and three weeks later someone finds a folder from 2019 that never came across.
I move business email between Google Workspace, Microsoft 365, cPanel and Plesk webmail, Zoho, Rackspace and plain IMAP servers. Any direction, including the ones the official tools do not cover.
First I audit what is actually there: mailbox count, real sizes, folder depth, aliases, forwarders, shared mailboxes and groups. You get that list before anything moves.
Then I sync in the background while your old mail keeps working. Folders, contacts, calendars, flags and read status all come across. Large mailboxes go in batches so throttling does not stall the job.
When the sync is verified I lower your DNS TTL and cut the MX records over, then run a delta sync to catch anything that arrived during the switch. Nothing lands in the gap.
I set up SPF, DKIM and DMARC on the new host so your mail does not start landing in spam the week after you move.
Then I test. Send and receive both ways, desktop and phone, and I check the folder counts match the audit.

Will we lose any email during the move?
No. Your old mailboxes stay live and serving while the new ones sync in the background. After the MX cutover I run a delta sync to pick up anything that arrived mid-switch, so there is no gap.
Do you move calendars and contacts as well as mail?
Yes, where the platforms support it. Google Workspace and Microsoft 365 both carry calendars, contacts and shared drives across. Plain IMAP servers only hold mail, so on those I move the mail and rebuild contacts separately.
How much downtime should the team expect?
None for reading mail. Everyone keeps using their old mailbox right up to the cutover. The only visible moment is re-adding the account on their devices, and I send simple steps for that.
