I will clean up and organize your email inbox with labels, filters and rules
Executive assistant and operations for founders and small teams
About this Gig
I clean up and organize email inboxes for founders and small business owners, then set up the rules that keep them clear.
Most inboxes are not a filing problem, they are a decision problem. Things sit there because nobody decided what happens to them. So I sort what is already there, then build the structure that decides it automatically next time.
What I do:
- Sort and clear the existing backlog
- Build a label and folder structure that matches how you work
- Set up filters so routine mail files itself
- Unsubscribe and shut down the noise
- Flag anything that looks like it needs you
- Hand back a short written guide to the setup
I work in Gmail and Outlook. Nothing is deleted without your say so, and anything I am unsure about goes into a folder for you to review rather than disappearing.
My day runs overnight for US clients, so most cleanups come back finished by your morning.
Tell me roughly how many emails you are dealing with and I will tell you which package fits.

FAQ
How long does a cleanup take?
Two days for a standard inbox. If you are dealing with tens of thousands of emails, tell me roughly how many and I will confirm before you order rather than running over.
Do I have to give you my password?
No, and please do not. Gmail and Outlook both let you grant delegated access, which is safer for you and reversible in one click. I will walk you through setting it up.
Will you delete anything?
Nothing is deleted without your say so. Anything I am unsure about goes into a review folder for you rather than the bin, and I tell you what is in there when I hand back.
How many hours is Monthly Inbox Care?
Eight hours across the month, which works out at roughly twenty minutes each weekday. That is enough to keep a normal inbox triaged daily. If yours runs heavier than that I will tell you in the first week rather than quietly falling behind.
Which email providers do you work in?
Gmail and Google Workspace, Outlook and Microsoft 365, and anything that runs through them. If you are on something else, tell me what it is before you order and I will say honestly whether I can work in it.
Will it just fill up again?
Not the same way. The filters and rules I set keep working after I am done, so new mail sorts itself instead of landing in one pile. The part that is on you is the habits, and I leave you a short written guide for those.
